*DUTIES DESCRIPTION*:
Specific duties to be performed may include, but are not limited to the following:
* Interacting in person, by phone, mail, and e-mail with a variety of individuals concerning Bureau activities and projects.
* Receiving, reviewing, and distributing incoming mail.
* Answering routine telephone calls and inquiries.
* Type correspondence and other documents.
* Forwarding or recording telephone calls to appropriate staff and screen visitors.
* Using various computer applications to prepare documents and reports and track data/processes as requested.
* Preparing a variety of reports, documents, spreadsheets, and correspondence using Word, Excel, and PowerPoint software.
* Maintaining paper and electronic filing systems.
*MINIMUM QUALIFICATIONS*:
Six months of experience in administrative support, which includes use of office software (e.
g.
, email, word processing), provision of customer service, business writing, and/or office administration.
The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Candidates must possess adequate keyboarding skills (i.
e.
, the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
In addition, a two-year traineeship (Administrative Assistant Trainee 1 & 2, NS=Grade 8 & 10) leading to Administrative Assistant 1, Grade 11, was approved effective October 31, 2019.
Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership or equivalent offerings through another entity as determined by the agency.
All trainees are required to successfully complete all courses before advancing to Administrative Assistant 1, G-11.
Additional Comments: Specific scheduled hours and telecommuting availability for this position will be discussed during the interview process.
The number of permissible telecommuting days for each employee will be determined by the current work demands/assignments, as well as program operational needs and employee performance/productivity, but may not exceed 50% telecommuting in a two-week payroll period.
